Terms of Service

Please read these Terms of Service ("Terms") carefully before using the Invoice Mate mobile application ("App") operated by Invoice Mate ("we", "us", or "our").

By downloading, installing, or using the App, you agree to be bound by these Terms. If you do not agree, do not use the App.

1. Description of Service

Invoice Mate is a financial management application that allows users to:

  • Create and manage invoices and quotes
  • Track business expenses
  • Manage customer records
  • Generate financial reports
  • Calculate and track GST obligations
  • Export financial data

The App is designed primarily for Australian sole traders and small business owners.

2. Account Registration

To use Invoice Mate, you must create an account. You agree to:

  • Provide accurate and complete registration information
  • Maintain the security of your account credentials
  • Notify us immediately of any unauthorised access to your account
  • Accept responsibility for all activities that occur under your account

You may register using your email address, Google account, or Apple ID. You must be at least 16 years of age to create an account.

3. Acceptable Use

You agree to use Invoice Mate only for lawful purposes. You must not:

  • Use the App for any illegal or fraudulent activities
  • Create false, misleading, or deceptive invoices or financial records
  • Attempt to access other users' data or accounts
  • Interfere with the App's infrastructure or security features
  • Reverse engineer, decompile, or disassemble the App
  • Use the App to transmit malware or harmful content
  • Resell, redistribute, or sublicense the App

4. Your Data

You retain ownership of all data you enter into Invoice Mate, including business information, invoices, quotes, expenses, and customer records. We do not claim any ownership rights over your data.

You are responsible for:

  • The accuracy of the data you enter
  • Maintaining your own backups of critical business records
  • Ensuring your use of the App complies with applicable tax and business regulations

5. Financial and Tax Disclaimer

Invoice Mate is a record-keeping and management tool. It is not a substitute for professional financial, tax, or legal advice.

  • The App provides GST calculations and tax-related features as a convenience. These calculations should be verified by a qualified accountant or tax professional
  • We do not guarantee the accuracy of any tax calculations, GST figures, or financial summaries generated by the App
  • We are not responsible for any tax penalties, fines, or financial losses arising from reliance on the App's calculations
  • You are solely responsible for meeting your tax obligations, including lodging BAS statements and tax returns with the Australian Taxation Office (ATO)
  • We recommend consulting a registered tax agent or accountant for all tax-related decisions

6. Service Availability

We strive to keep Invoice Mate available at all times, but we do not guarantee uninterrupted access. The App may be temporarily unavailable due to:

  • Scheduled or emergency maintenance
  • Server or infrastructure issues
  • Factors beyond our control (internet outages, third-party service disruptions)

The App includes offline functionality, allowing you to continue working without an internet connection. Data will sync when connectivity is restored.

7. Intellectual Property

The App, including its design, code, features, logo, and documentation, is the intellectual property of Invoice Mate and is protected by copyright and other intellectual property laws.

You are granted a limited, non-exclusive, non-transferable, revocable licence to use the App for its intended purpose, subject to these Terms.

8. Subscription and Pricing

Invoice Mate is currently offered as a free service. We reserve the right to introduce paid subscription tiers in the future. If we do:

  • We will provide reasonable advance notice of any pricing changes
  • Existing features available under the free tier at the time of your registration will remain accessible to you
  • Paid features will be clearly identified before purchase
  • Subscription payments will be processed through the App Store or Google Play, subject to their respective terms

9. Limitation of Liability

To the maximum extent permitted by Australian law:

  • Invoice Mate is provided "as is" and "as available" without warranties of any kind, whether express or implied
  • We do not warrant that the App will be error-free, secure, or available at all times
  • We shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the App
  • Our total liability for any claims related to the App shall not exceed the amount you paid for the App in the 12 months preceding the claim (if any)

Nothing in these Terms excludes or limits liability that cannot be excluded or limited under Australian Consumer Law.

10. Indemnification

You agree to indemnify and hold harmless Invoice Mate and its affiliates from any claims, damages, losses, or expenses (including legal fees) arising from:

  • Your breach of these Terms
  • Your use of the App
  • Any content or data you submit through the App
  • Your violation of any applicable law or regulation

11. Account Termination

You may stop using Invoice Mate and delete your account at any time. We reserve the right to suspend or terminate your account if:

  • You violate these Terms
  • You use the App for illegal or fraudulent purposes
  • Your account has been inactive for an extended period

Upon termination, we will retain your data for a reasonable period to allow you to export it. After that period, your data will be permanently deleted.

12. Changes to These Terms

We may update these Terms from time to time. When we make changes, we will update the "Last updated" date at the top of this page. Continued use of the App after changes constitutes acceptance of the updated Terms.

For material changes, we will make reasonable efforts to notify you through the App or via email.

13. Governing Law

These Terms are governed by and construed in accordance with the laws of the Commonwealth of Australia. Any disputes arising from these Terms or your use of the App shall be subject to the exclusive jurisdiction of the courts of Australia.

14. Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
