Invoice Mate ("we", "us", or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and safeguard your information when you use the Invoice Mate mobile application (the "App").

By using Invoice Mate, you agree to the collection and use of information as described in this policy.

1. Information We Collect

1.1 Account Information

When you create an account, we collect:

  • Email address - used for account authentication and communication
  • Full name - used to personalise your experience
  • Authentication data - password hash (never stored in plain text), or third-party authentication tokens (Google, Apple)

1.2 Business Information

To provide our invoicing services, we collect business details you voluntarily enter:

  • Company or business name
  • Australian Business Number (ABN)
  • Business address, phone number, and email
  • Banking details (bank name, BSB, account number) for display on invoices
  • Business structure and estimated annual turnover
  • Company logo (if uploaded)

1.3 Financial Data

The core of our service involves storing financial records you create:

  • Invoices (customer details, line items, amounts, dates, payment status)
  • Quotes and estimates
  • Expense records (amounts, categories, GST calculations)
  • Customer and client records (names, contact information, ABN)

1.4 Usage and Diagnostic Data

To keep the App stable and improve it over time, we may collect:

  • Device type and platform (for example, iOS or Android)
  • App version and build number
  • Crash reports and error logs (to improve app stability)
  • Usage and diagnostic events — for example, when you open the App and how often you use it. This may be linked to your account so we can understand which features are useful, improve the App, and provide support

This collection is optional. You can turn it on or off at any time in the App under Settings → Privacy → Usage & diagnostics. When it is turned off, we stop recording this usage and diagnostic data. We never use it for advertising, and we never sell it.

2. How We Use Your Information

We use your information solely to:

  • Provide the service - create invoices, quotes, track expenses, and generate reports
  • Authenticate your account - verify your identity and protect your data
  • Sync your data - keep your information accessible across devices via cloud storage
  • Improve the App - analyse crash reports and, where you have enabled it, usage and diagnostic data to fix bugs, understand which features are useful, and improve performance
  • Communicate with you - respond to support requests or send essential service updates

We do not:

  • Sell your personal or business data to third parties
  • Use your data for advertising or marketing purposes
  • Share your financial information with anyone without your explicit consent
  • Access your data for any purpose other than providing the service

3. Data Storage and Security

3.1 Where Your Data is Stored

Your data is stored using Google Firebase (Cloud Firestore), a secure cloud infrastructure provided by Google. Firebase servers are located in regions that comply with applicable data protection standards.

A local copy of your data is also cached on your device to enable offline functionality.

3.2 Security Measures

We implement the following security measures:

  • Encryption in transit - all data transmitted between the App and our servers is encrypted using HTTPS/TLS
  • Encryption at rest - data stored in Firebase is encrypted at rest by default
  • User data isolation - strict security rules ensure each user can only access their own data. No user can view, modify, or access another user's information
  • Secure authentication - passwords are hashed and never stored in plain text. Third-party authentication (Google, Apple) uses industry-standard OAuth protocols
  • No hardcoded credentials - sensitive keys and tokens are managed securely through Firebase configuration

4. Third-Party Services

Invoice Mate uses the following third-party services:

  • Google Firebase (Authentication, Cloud Firestore) - for user authentication and data storage. Firebase Privacy Policy

  • Apple Sign-In - optional authentication method on iOS devices. Apple Privacy Policy

These services have their own privacy policies. We encourage you to review them.

5. Data Retention

Your data is retained for as long as your account is active. Specifically:

  • Account data - retained until you delete your account
  • Business and financial data - retained until you delete your account or manually delete specific records
  • Deleted records - soft-deleted records (marked as deleted within the App) may be retained for a reasonable period to allow recovery, after which they are permanently removed

6. Your Rights

You have the right to:

  • Access your data - view all your personal and business information within the App
  • Export your data - export your financial records in Excel or PDF format using the App's built-in export feature
  • Delete your data - delete individual records within the App, or request complete account deletion by contacting us
  • Correct your data - update your personal and business information at any time through the App's settings
  • Withdraw consent - turn off usage and diagnostic collection at any time in Settings → Privacy, and request account deletion whenever you wish

7. Children's Privacy

Invoice Mate is designed for business use and is not intended for children under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will promptly delete it.

8. Changes to This Policy

We may update this Privacy Policy from time to time. When we make changes, we will update the "Last updated" date at the top of this page. We encourage you to review this policy periodically. Continued use of the App after changes constitutes acceptance of the updated policy.

9. Australian Privacy Act

Invoice Mate operates in compliance with the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs). If you are an Australian resident, you have additional rights under these laws, including the right to lodge a complaint with the Office of the Australian Information Commissioner (OAIC).
